Terms to Define Before a Supplier Quotes

These are practical RFQ definitions. The exact meaning in a standard, drawing or contract remains governed by that source.

RFQ (request for quotation)
A buyer-issued request asking suppliers to quote a defined technical and commercial scope. An RFQ is not a purchase order, contract, supplier acceptance or commitment to quote.
Industrial enclosure hardware
Access, closure, motion, handling and mounting components used on cabinets, control panels, equipment housings and cases. The term does not identify a specific part or performance level.
Latch
Hardware that holds a door, cover or panel against a mating frame or keeper. The RFQ should name its closing action and installed geometry.
Cam
The rotating member behind a quarter-turn latch or lock that engages the frame. Its length, offset, orientation and rotation affect fit.
Keeper or strike
The mating feature engaged by a latch. State its position, mounting plane, adjustment and engagement geometry.
Grip or grip range
The installed distance a latch or cam arrangement must accommodate between defined mating surfaces. Use the supplier drawing definition for an exact product.
Compression or pull-up
Controlled closing travel used to draw the door toward the frame or compress a seal. State the target and installed gasket condition rather than only the word compression.
Cutout
The prepared opening or hole pattern in a panel for mounting hardware. Include dimensions, tolerances, anti-rotation features, edge condition and panel thickness.
Handing
The left-, right-, upper- or lower-side orientation that can change operation, lift-off direction or assembly. Define it from a stated viewing side.
Hinge load case
The complete combination of door mass, center of gravity, hinge count and spacing, axis, orientation, motion and external forces used for evaluation.
Hinge torque
Resistance to rotation for a positioning hinge under stated direction and conditions. It is not determined from panel weight alone.
Load path
The route an applied force follows through a handle, fasteners, panel, reinforcement and enclosure. Every interface in that route affects installed capacity.
Base material
The underlying metal or polymer grade or compound. State it separately from coating, plating, passivation, paint, texture or other finish.
Critical characteristic
A drawing or process feature identified as important to fit, function, safety or downstream assembly and linked to a defined inspection method.
First article
An initial part or inspection record used for a stated approval purpose. Define whether it represents prototype methods or intended production tooling and processes.
MOQ
Minimum order quantity offered under stated price, process and packaging assumptions. It is a commercial proposal, not an inherent property of the component.
Annual volume
Estimated demand over a year, preferably separated from prototype and initial-order quantities. It helps candidates evaluate process, capacity and tooling.
Tooling
Dedicated dies, molds, fixtures, gauges or other production aids. State ownership, payment, location, maintenance, modification rights and disposition.
Incoterms rule

IP Code

NEMA enclosure Type

Equivalent or deviation
A proposed departure from the reference part, drawing or requested condition. Require the supplier to identify the difference and its effect on fit, function, evidence and price.

Use a Term to Open a Decision, Not to Close It

A category name helps route an inquiry, but a supplier cannot quote the installed result from the category alone. Follow each broad term with the dimensions, conditions and evidence that make it measurable. If the buyer does not yet know a value, mark it open and describe the application instead of inserting a guess.

Keep the definition in the same controlled package as the drawing revision and commercial request. A term copied from a prior project may carry assumptions that do not apply to the new door, frame, gasket, load or destination.

Interface Terms Control Fit and Motion

For a latch, grip and keeper position connect the component to the door and frame. For a hinge, handing, axis and load case connect the component to the required motion. For a handle, the action and load path determine whether the requirement is simply opening a panel or carrying a complete assembly.

Reference the exact view, datum or mating surface used for each dimension. Supplier catalogs can define a term differently, so the controlled product drawing remains the authority for an exact candidate.

Drawing Terms Keep Every Candidate on the Same Revision

The RFQ should identify the drawing number, revision, units and controlling file. Datums, tolerances, critical characteristics, finish notes and inspection methods should remain connected rather than being scattered across email threads.

A first article is meaningful only when its approval purpose and production representation are stated. Separate a rapid fit prototype from a sample made with intended production tooling, material and processes.

Commercial Terms Affect the Manufacturing Route

Prototype quantity, initial order, annual volume and MOQ answer different questions. Together they help a candidate compare flexible fabrication with dedicated tooling and explain the price basis. Tooling cost should be accompanied by ownership, maintenance, modification and storage terms.

Use an Incoterms rule with a named place and version, then state packaging, destination and timing separately. A short trade term does not define product acceptance, payment or every destination charge.

Rating and Certification Words Need a Defined Subject

An IP Code or NEMA enclosure Type describes an enclosure claim under its own system; neither label should be assigned to a complete cabinet from the category name of one latch, hinge or handle. State whether the requested record covers a component, an installed hardware configuration or the completed enclosure.

When evidence is required, name the standard, model or configuration, document type, issuing organization, date, status and installation limitations. A brochure logo or an unsupported use of certified is not a complete approval record.

“Standard size”

There is no universal enclosure cutout or grip. Attach the controlled interface dimensions.

“Stainless finish”

Separate the base alloy from any passivation, coating, polish or appearance requirement.

“Heavy duty”

Replace the label with a load case, direction, units, cycles and acceptance method.

“FOB price” alone

Add the named place, Incoterms version, packaging, destination and comparison assumptions.

Is grip the same as panel thickness?

Not necessarily. Grip normally refers to a defined installed distance across mating surfaces and can include more than one layer or gap. Use the exact candidate drawing definition.

Does “304 stainless” define the finish?

No. It identifies a base-material grade, while passivation, polish, texture, coating and appearance criteria are separate requirements.

What must an RFQ state when it uses an IP or NEMA term?

State the exact system and designation, the subject of the claim, the installed configuration and the evidence required. Do not assume one-to-one conversion. Read the IP versus NEMA evidence guide.

Should unknown RFQ fields be left blank?

Label them as open and explain the application, decision owner and required timing. That prevents a supplier assumption from looking like a confirmed requirement.
